Changing Assignment Notifications

When a user is assigned a task, the system sends a notification containing task details to the user. Notification methods include email, popup, SMS message, or Twitter. The system can send a notification using one or multiple methods. By default, users receive an email notification and a popup message in the portal to notify of task assignment.

To set a default assignment notification method, navigate to the System > Administration > Notifications > Default Notifications folder, select the (Notification) Notify to Assigned item, and edit it in the Edit Notification pop-up.

Example

In the example, we will:

  1. Set two methods of notification for assignments, email and pop-up.
  2. Assign a task using the To Do (Assigned to Me) option.
  3. View a pop-up notification for the assigned task.
  4. Select an option on the notification to mark the task as complete.

Begin by navigating to the folder System > Notifications > Default Notifications. In the folder data panel, select [Notification] Notify to Assigned, and select Edit from its Action menu that appears, or in the lower right.

In the Edit Notification pop-up, in the Notification Modes list, select the Email check box and click Save.

Next, we create an assignment.

We navigate to the My Home folder, click the To Do button, and select To Do (Assigned to Me).

We add a To Do assignment and click OK.

The system adds the new assignment to the Tasks list and sends an email to the current user.

To change the notification mode to include a pop-up notification, we return to the folder System > Administration > Notifications > Default Notifications. In the folder data panel, we select [Notification] Notify to Assigned, and select Edit from its Action menu in the lower right.

In the Edit Notifications pop-up, in the Notification Modes list, we select the PopUp checkbox and click Save.

Back in the My Home folder, we add another To Do Assignment. . .

. . . then enter the information about the assignment and click OK.

The system adds the assignment to the Tasks list, and a notification displays in the upper right.

To mark the task as complete, we click the notification and select Mark Complete from the menu.

When we click the Refresh icon. . .

. . . the assignment is removed from the Tasks list.
